Notion Mail continuity workflow

Keep new email workflows moving into Notion

Notion says the Notion Mail inbox shuts down on September 22, 2026. Mailsink gives you a focused way to keep new messages moving into useful Notion or Airtable records.

The important qualification
Mailsink captures forwarded email into workspace records. It is not an inbox client, a Notion Mail clone, or a promise of historical migration.
One email, one useful test
Email Inbox
Forward a real message to a private Mailsink address, then review what your selected destination receives.
Forwarded message
Subject, sender, date, and body context
Review the destination result before automating the route.

What changes

Notion's official help says existing email history remains in Gmail and existing synced email databases remain accessible, but those databases stop receiving new email after September 22. This workflow is for new messages; it does not migrate historical mail.

Manual first

Prove the route before you automate it

Provider forwarding rules and workspace permissions vary. A single manual test makes the useful path clear without asking you to rebuild your whole inbox on day one.

1
Connect a destination
Authorize Notion or Airtable and choose the workspace where this workflow should live.
2
Create an Email Inbox
Use the general Email Inbox preset for standard email capture without committing to a narrow use case.
3
Forward one real message
Send one message manually to the generated address and inspect the saved result.
4
Add a rule later
If the result is useful, add a Gmail filter or Outlook rule and keep the first test as your baseline.
Example workflow

See what one forwarded receipt becomes

Start with one real receipt or invoice email. Keep the setup small, then compare the saved result with the source before relying on it.

Choose the record system

Notion and Airtable are both durable destinations

The workflow idea is portable: keep the email capture address separate from the workspace where you organize the result.

Notion
Best when email belongs beside pages, notes, projects, and flexible database views.

Start with the Email Inbox preset, create or link the destination database, and review one forwarded message before adding rules.

Start with Notion
Airtable
Best when email belongs in structured rows, filtered views, and an operational workflow.

Use the same general Email Inbox idea with an Airtable base and table. Mailsink keeps Airtable available as a first-class destination beyond this Notion-specific campaign.

Use the guide that matches your workflow

Start with the product change if you are planning continuity, or go straight to the destination setup that fits your work.

Continuity
What the Notion Mail shutdown changes
Separate export and historical-mail decisions from the new-message workflow you can test with Mailsink.
Notion
Keep new email moving into Notion
Follow the manual-first setup, including Gmail verification and Microsoft 365 policy constraints.
Airtable
Build an email-to-Airtable workflow
Use structured rows and filtered views when an operational table is a better destination than pages.
Provider notes

The setup depends on your mail provider

These are workflow boundaries to plan for, not failures that Mailsink can silently fix.

Gmail forwarding verification
Gmail commonly requires a verification message before an automatic forwarding rule can run.
That message is sent to the Mailsink destination address, and the current beta does not reliably surface it in-app. Use manual forwarding or BCC as the reliable path until you can confirm the automatic route yourself.
Microsoft 365 policy
Some Microsoft 365 tenants reject external automatic forwarding with a 5.7.520 policy response.
Ask your administrator about the approved route, or use manual forwarding/BCC where policy allows. Mailsink cannot override tenant-level mail controls.
A good fit when you need
A clear place for new forwarded email records
A small workflow to test before adding provider rules
Notion pages or Airtable rows connected to the rest of your work
Not what Mailsink promises
A full replacement for an email client
Historical migration from a previous mail product
A guarantee that every provider rule or destination schema behaves identically
Security and privacy
You explicitly forward messages to a private Mailsink inbox address, and workspace connections use OAuth. Review the Privacy Policy for current processing and retention details before routing sensitive email.
